Steps to Follow When Performing a Training Needs Assessment

Every day we’re faced with different problems as we attend to our duties. And it’s probably not any different in your workplace. However, how we respond to the situations will determine whether we’ll succeed or not. It’s always a good idea to first assess the situation before rushing to look for the solution. You need to analyse the problem to get a better idea of the cause and to determine whether training will be the best solution.

Once you’ve completed the analysis of your performance problem and you’re certain that training is the best solution, it’s time to begin researching for the training by performing a basic training needs assessment. This assessment is a four-step process as explained below.


  1. Identify Your Business Goal

Before providing any form of training, you need to know exactly why you’re doing it and if it’s in the best interest of your business objectives. Most businesses goals include earning more revenue, supporting a new product, decreasing expenses and waste, complying with regulations and directives, or learning new or improved production process. If your business goal is to learn a new process or create a new product, for instance, there will be a need to train workers to be familiar with the processes, as well as the safety precautions to consider.


  1. Determine the Tasks the Workers Will Perform

After identifying the business goal, you need to ask yourself what the workers should do for you to achieve that goal. This means identifying the performance gap between where your workplace is now performance-wise and what the workforce must do to reach the goal. Considering the example of introducing a new product, the workers need to know what the product is, the production process, and the tasks they need to perform to make the product.


  1. Determine the Training Activities Required for a Successful Learning

Now, you’ve identified the tasks your workforce will be doing. The next step will be identifying the training activities that will help the workers learn to do the task safely and efficiently. This may include explaining more about the product, an overview of the production process, and a demonstration of the tasks to be performed on the job. If you’ll be conducting face-to-face training before the end of the COVID-19 pandemic, it’s important that you take the necessary precautions for the safety of your employees. You can install post and chain barriers across the training area to help keep the workers at a safe distance from each other.


  1. Determine the Characteristics of Workers That Will make the Training More Effective

The final step focuses on ensuring you have chosen the best type of training that will be most effective for your workers. To do this, you’ll need to consider the characteristics of your workers. It may be impossible to cater training to each individual and you may have to consider the average characteristics of your workforce as a whole. Check whether they’re more comfortable with instructor-led training or computer-based training; youngish or older; if they learn better from listening, reading, or doing; and if there are cultural issues that may factor in. These characteristics will help you develop a way you can best reach everyone.
